Team Assistant

We’re looking for a fantastic team assistant to support our busy leadership for 3 days a week 🤝

Closely supporting our founders and heads of departments, this is a real opportunity to experience all areas of a growing agency and learn plenty along the way.

You’ll be working part time, 3 days a week on a 12 month contract. This is a remote role, but from time to time you might be needed in our office in sunny Clerkenwell.

About you

This isn’t your first time at the rodeo. You’ll have worked in administrative support before and know your way around the role. You’ll have great communication skills, and be a whizz at managing your own time. You’re curious to learn and are creating an efficient work environment for those around you makes you happy.

Working closely with our leadership team, you’ll sometimes be dealing with confidential information, so it’s essential that you can be discreet and trustworthy.

There’s a lot to do and loads of directions this role can take, as we love to experiment and learn (we’re UXers, after all). You’ll be comfortable with the fast pace of agency life and prioritising the different strands of a varied workload, but equally happy to contribute and challenge the direction where appropriate.

About the role

You’ll be supporting our leadership team and heads of departments with all sort of administrative tasks. The main areas we’re looking for help with are:

Culture guardian

You’ll ensure our team stays connected via informal coffee chats, company meetings and weekly team show and tells. You’ll also help us celebrate important milestones such as workaversaries, life events and birthdays.

Events coordinator

Working with our Social team, you’ll ensure we have plenty of fun internal events in the diary, as well as helping to facilitate them and keeping track of their budgets.

You’ll also support our Client Services and Marketing teams with our in-person events for clients and the public. You could be responsible for booking venues, catering (arranging, we don’t expect you to become a pizza chef), ordering supplies, and gifts for our clients or event attendees.

HR assistance

You’ll support our Chief of Staff with the onboarding and offboarding process for new joiners and leavers, ensuring everyone has a great experience throughout their time at Lighthouse.

You’ll also make sure  the entire team has the correct kit in order to fulfil their roles and remain compliant with our policies and procedures. You’ll manage our training budgets, and coordinate any personal or team training requirements.

Operations

We are in the process of applying for our B-Corp accreditation, and you’ll support the leadership team through this process as well as helping us make the internal changes we need.

You’ll also manage relationships with our external suppliers (for example our Data Protection officer, cleaning contracts, the folks we buy our IT hardware from and so on).

Travel coordinator

From time to time our team need to travel around the UK or overseas to meet our clients. You will support with organising and facilitating travel including booking trains, flights, accommodation etc. and managing any assigned budgets.
